Want to be at the heart of cutting-edge IP work? A well-established law firm is seeking an experienced Legal Administrative Assistant to support attorneys, patent agents, and paralegals in fast-paced Intellectual Property practices spanning both Phoenix and California. Two positions available, one in Costa Mesa, CA and one in Phoenix, AZ. These roles are ideal for someone who thrives on organization, enjoys juggling multiple priorities, and wants to contribute to high-impact legal work.

Key Responsibilities:

  • Prepare, proofread, and file patent and trademark documents with the United States Patent and Trademark Office and foreign IP offices
  • Manage IP calendars and critical filing and renewal deadlines
  • Maintain electronic case files and IP docketing systems
  • Coordinate attorney schedules and client communications
  • Process billing, time entries, and general administrative support

Qualifications:

  • 4+ years of legal administrative experience; Arizona & California IP experience preferred depending which state you work.

  • Familiarity with USPTO systems, PCT filings, and foreign IP procedures a plus
  • Strong organization, attention to detail, and deadline management
  • Proficiency in Microsoft Office and legal/IP docketing software
